Who is responsible for what
- Merchant data (store, settings, return addresses, carrier credentials): Florent Gainnier (EI), publisher of EasyReturn, is the controller.
- Store customers’ data: the merchant is the controller; the publisher of EasyReturn acts as processor, on the merchant’s instructions (Article 28 of the GDPR), under the conditions set out in the terms and conditions.
Data processed by the app
| Data | Purpose | Retention period |
|---|---|---|
| Store name, Shopify technical identifiers, settings, return zones | Running the app | Until uninstallation, then deleted at Shopify’s request (48 hours later) |
| Return addresses (warehouses): company, name, address, phone, email | Label recipient, address given to customers | Until deleted by the merchant or until uninstallation |
| Colissimo connection key | Creating labels on the merchant’s contract | Encrypted (AES-256-GCM), never displayed again; erased as soon as the app is uninstalled |
| Store customer: name, company, shipping address, phone, order email | Sender details on the return label, sent to Colissimo when the label is created. Not stored by the app outside the label. | Read from Shopify when the label is created |
| Return label (PDF, contains the customer’s name and address) | Made available to the customer and the merchant through a secure link | 90 days |
| Tracking number, return status | Tracking the return in the app | Until erasure is requested by the customer (through Shopify) or until uninstallation |
| Technical logs (webhooks, jobs) | Reliability, duplicate prevention | 30 days |
The app also writes the return instructions (label provided or return address) to the Shopify order, where they are displayed in the Shopify “Return request approved” email.
